City of Chillicothe Cemetery, Parks, Recreation & Beautification Committee met Dec. 17.

Here are the minutes provided by the committee:

Members of the Cemetery & Parks Committee met in person on December 17, 2024 at 5:00 p.m. in the Council Chambers at City Hall.

Cemetery & Parks Committee members present at the meeting in the Council Chambers: Chairman Tim White, Alderperson Bredeman

Others in attendance in the Council Chamber: Clerk Jill Byrnes, Superintendent Shawn Sutherland

Others absent in the Council Chamber: Alderperson Connor

PUBLIC COMMENT:

None.

PURPOSE:

DISCUSSION - BEAUTIFY CITY PARKS:

Chairman T. White informed the Committee that after the holidays he and Alderperson Bredeman would be gathering estimates and plans for the City parks improvement projects to present for the 25-26 budget. Updates will be discussed at the next Cemetery & Parks Committee meeting. Chairman T. White informed the Committee that the Shade Canopy for City Park is scheduled to be delivered to the Public Works building on December 30, 2024 and stored until it can be installed.

DISCUSSION - WINTER DOCK STORAGE:

Superintendent Sutherland stated that the original plan to float the docks to the Casting Club had presented a concern for the insurance company. The insurance company suggested that the City enter into an agreement with the Casting Club to avoid any potential liability to the City. Superintendent Sutherland did not feel that the Casting Club would be willing to do so, therefore the docks will remain in place for the winter, only the ramp will be removed. Superintendent Sutherland will contact Otto's for use of their equipment to remove the ramp. Updates will be discussed at the next Cemetery & Parks Committee meeting.

SEASONAL WORKERS:

Superintendent Sutherland informed the Committee that he would be providing a pizza party for his staff on Wednesday Dec 18, 2024 and would be speaking with the seasonal staff to confirm if any of the seasonal staff plan to return in the spring. Superintendent Sutherland does have 3 candidates available to hire if needed for spring 2025 seasonal work. Updates will be discussed at the next Cemetery & Parks Committee meeting.

PRIORITY 2 PROJECT - CEMETERY KIOSK:

Chairman T. White is still investigating the numerous types of kiosk's available and will prepare a checklist of needs/wants along with cost estimates and present at the next Cemetery & Parks Committee meeting for the Committee to discuss. Updates will be discussed at the next Cemetery & Parks Committee meeting.

HEADSTONE REPAIR:

Superintendent Sutherland suggested this agenda item be moved to Old Business since the headstone repairs will not resume till spring 2025.

SHADEMAKERS UPDATE:

Alderperson Connor was absent from tonight's meeting.

Clerk Byrnes announced to the Committee that the Pontem Software used for Chillicothe City Cemetery record keeping contact will expire on 1/31/2025, she will be contacting Pontem for a new contact and price quote and present at the next Cemetery & Parks Committee meeting.
